Who we’re looking for:
We are now recruiting for an experienced, bright, enthusiastic and hardworking Event Project Manager to join the events team at our head office in Tecom full time for a period of 4 months from September 1st for our busiest period of the year.
As Event Project Manager you will report to the Head of Events leading a minimum of 8 events during your time at CPI Media Group ensuring they run smoothly from start to finish for internal stakeholders, event sponsors and attendees.
These events include but are not limited to –
 Roundtables for 15-30 people (half day)
 Conferences for between 80-150 people (half and full day)
 Networking evenings for 80-150 people (evening)
 Golf Days for 60-100 people (full day)
We are looking for someone with extensive experience in an events project management role with a proven ability to manage a wide range of events with different requirements. You must possess experience of leading teams (internal and external) and have an understanding of the full communication mix including events, communications, design, digital and video, with a proven ability to manage large scale and complex projects end to end. You will also have experience of bringing together teams from across all disciplines including suppliers and will ideally possess a technical background (experience of branding, lighting, stage etc).
Job description and duties* –  Liaise with internal team and stakeholders to ascertain their precise event requirements
 Effectively communicate project expectations to project team members, departments, third parties and stakeholders in a timely and clear fashion
 Setting, communicating and maintaining timelines and priorities on every project
 Proactively manage changes in project scope, identify potential crises, and devise contingency plans using risk management and project management industry standards Motivate and co-ordinate the project team and other personnel involved in the project
 Delegate tasks and responsibilities to appropriate personnel in various departments and specialist roles
 Identify and resolve issues and conflicts within the project/event team including departments and third party suppliers
 Attend site visits with relevant suppliers and internal team members
 Negotiation, securing and coordination of suppliers – Venue, Branding, AV, Flowers, Entertainment, Hostesses etc.
 Manage existing supplier relationships
 Preparation of event timelines and floor plans
 Develop and manage preparation of internal and external presentations
 Coordination of speaker and sponsor deliverables
 Coordination of delegate attendance with Events Administrator
 Coordination of branding production from our design team in-house through to our branding supplier
 Coordination of venue set up and deliveries including installations and branding placement
 Be present at each event to manage set up
 Oversee the dismantling and removal of the event and clearing the venue efficiently in close liaison with suppliers and team members
 Handle client and attendee queries and troubleshooting on the day of the event to ensure that all runs smoothly
 Ensure excellent customer service and quality delivery
 Deliver all events on time, within budget, that meet (and hopefully exceed) expectations.
 Be responsible for all project forecasts and budgets from start to finish; Draft and submit budget forecasts for each event, and recommend subsequent budget changes where necessary – budgets will be provided by Head of Events
 Ensure all quotes and invoices for each project are received, filed and processed in accordance with our policies and guidelines
 Follow up with Finance Department on the status of payments (pending, paid and accruals)
 Submit final actual event cost to Head of Events 1 day after event has finished
 Prepare and present project post evaluation reports and create a recommendations report in order to identify successful and unsuccessful project elements.
 Commercial awareness and business wide knowledge
 Assist and be present at all other CPI events that you aren’t directly project managing *The above job description/duties may vary and increase/decrease as necessary.
Desired Skills and Experience
 Minimum 3 years proven event management experience
 Excellent project management skills and in-depth understanding of event industry
 Strong communicator with excellent influencing, negotiation and relationship building skills
 Ability to motivate and manage the people assisting on the project to deliver on time, budget and at the required standard of quality
 Skilled in coordinating flow of information and communication between staff, senior management and suppliers with the ability to effectively manage time and work to meet deadlines
