Operations Manager

Job description

Job Purpose:

Manage the business unit operations by providing efficient, effective and proactive administration of operations.

Job Scope:

Operations management of the unit’s requirements includes the management of: data and information systems; recruitment processes with HR; tender and contract services processes; copyright clearances; relations with government and authorities; liaison on recognition and accreditation processes; and premises and facilities.

Key Accountabilities:

Formulate and communicate operational policies & procedures in order to streamline the unit’s administration and to ensure effective and efficient work practices.

Institute and deploy effective data storage and retrieval, monitoring, evaluation and reporting procedures for the unit.

Liaise with governments, education authorities and other accreditation agencies as required to facilitate negotiated discussions on matters related to the testing and delivery of the World Curriculum and online course materials.

Coordinate and manage contract and tender processes for the business unit as required.

Coordinate the management of copyright clearance processes for digital artefacts and assets to be embedded in online course materials.

Organize recruitment of staff (full-time, temporary and contract) in order to ensure that appropriate calibre of staff are hired to deliver the business objectives.

Ensure systems are in place, including guidelines, periodic checks and balances to respond to emergency situations on account of equipment failure, fire, natural calamities and other key risks.

Manage premises and facilities with routine periodic inspections to ensure proper maintenance & upkeep; ensure air quality, lighting, cooling, noise levels etc are as per standards.

Ensure the GEMS policies, procedures, and codes of conduct are followed at all times.

Initiate effort and energy beyond the typical work day, where the tasks require additional commitment.

Attend staff meetings and serve on committees as required.

Perform other duties as requested by direct & dotted reporting line managers / supervisors.

Key Performance Indicators:

Effective and efficient operational policies & procedures are implemented.

Effective data storage and retrieval, monitoring, evaluation and reporting procedures in place.

Delivery of course recognition and accreditation.

Implementation of rigorous copyright clearance processes.

Person Specification:

1. Higher studies in administration and business operations

2. Knowledge of project management, business continuity and disaster recovery planning

3. High degree of autonomy as well as the capacity to work as a productive member of a team

4. High level organizational ability to coordinate multiple tasks and meet deadlines with tight time constraints

5. High level verbal and written communication skills; and interpersonal skills

6. High level analytical and problem solving skills

7. A minimum of 10 years in business operations, preferably with at least 5 years in a senior role in an education company/service industry.

8. Experience as project manager or working with complex projects
