The Program is to initiate, plan and Deliver 11 x 45,000 seat stadiums concurrently throughout the Kingdom of Saudi Arabia within 2 years.
Job Responsibilities/Accountabilities:
Scope:
• Manage electronic document management system as well as hard copy records on as per company’s EDMS system.
• Ensure all documentation is controlled in accordance with the company’s procedures for document control.
• Process, control and administer incoming and outgoing documents (correspondences, submittals, transmittals, specifications, drawings, etc.).
• Upload and distribute documents to relevant parties in accordance with the document distribution matrix through workflow.
• Maintain and update EDMS logs to ensure accurate status of the submissions.
• Provide support to all users and grant user access and permissions on EDMS.
• Prepare necessary data reports for various parties in timely and accurate manner.
• Follow up and expedite priority items with relevant managers, engineers, consultants and contractors.
• Drive improvement to document control processes and procedures.
• Manage and monitor the use of various form set ups among team members.
• Coordinate with consultants and contractors to send and receive various reports, drawings, submittals and other outstanding issues.
Duties and Responsibilities:
• Establish centralized hard copy filing system.
• Manage daily uploading and downloading of correspondence, drawings, transmittals and other documents.
• Manage and monitor day-to-day use of electronic document management system.
• Update all project logs and electronic document management systems.
• Coordinate with consultants and contractors to send and receive various drawings, submittals, reports and other outstanding issues.
• File, Copy & Scan all project documents as per document controls procedure.
• Upload and distribute documents to relevant parties on project site in accordance with the document distribution matrix through workflow.
• Convert drawings to various file formats and upload / file as required.
• Coordinate with consultant and client for contractor submittals’ approvals.
• Support organization-wide Project Management Information System.
• Coordinate with Document Control Manager to ensure knowledge of EDMS and PIMS policy, procedures, reports etc. used.
• Coordinate with site users to map and gap EDMS and collaboration processes.
• Ensure accurate and timely processing of data reports as required.
• Follow up and expedite priority items with relevant managers, engineers, consultants and contractors.
• Manage daily uploading and downloading of correspondence, drawings, transmittals and other documents.
• Conduct periodic data checks and validation to ensure data accuracy.
• Ensure timely transmission of approved project deliverables to the concerned stakeholders as per Communication Management Plan.
Basic Qualifications
Job Requirements/Qualifications/Experience:
Qualifications and Experience:
• Bachelor’s degree or HND equivalent required.
• Minimum 8-10 year’s experience in construction and engineering industry; 5 of those years in managing documents in large projects.
• Possess excellent written and oral communication skills
• Ability to demonstrate knowledge and experience of the construction project document control methodologies, process, procedures and systems.
• Ability to demonstrate knowledge and experience with MS Office applications.
• Knowledge in Information Management Systems.
• Working in a programme management office.
• Experience in working within the Middle East.
• Must be physically fit and able to work in extreme climate.
